How Applicant Tracking Systems Read Your Resume

What tracking software does with your resume, and the formatting choices that help or hurt you.

Most mid-size and large employers use an applicant tracking system (ATS) to collect, sort and search applications. Before a recruiter reads your resume, software has already parsed it into fields like job titles, dates, employers and skills. If the software can't read your resume cleanly, a recruiter searching the system may never see it.

What an ATS actually does

An ATS is a database with a search bar. When your resume arrives, the system extracts the text and tries to place it into structured fields. Recruiters then search and filter those fields, usually by job title, skills and keywords from the job posting.

So there are two hurdles. First, the system has to read your resume correctly. Second, your resume has to contain the words a recruiter is likely to search for.

Formatting that parses well

  • Use standard section headings such as Summary, Experience, Education and Skills. Creative headings can confuse the parser.
  • Keep a simple layout. Text boxes, tables, columns built with shapes and graphics often scramble the reading order or get skipped entirely.
  • Put contact details in the main body, not in a header or footer, which some systems ignore.
  • Use common fonts and real text. Never put important information inside an image.
  • Write dates consistently, for example "2019 – Present", so the system can calculate your experience.

Keywords that get found

Read two or three postings for the role you want and note the skills, tools and titles that repeat. If they match your real experience, use the same wording. If a posting says "stakeholder management", that phrase will match better than "working with partners".

Matching the language of the job posting matters as much as the experience itself.

Don't stuff keywords into hidden text or long lists. Recruiters read the results, and a resume that reads like a keyword dump loses them at the human stage.

File type

A Word document is the safest choice for most systems. A text-based PDF (one you created from a word processor, not a scan) is accepted by most modern platforms. Follow the employer's instructions if they specify a format.

An ATS-friendly resume is clean, conventionally structured and written in the language of your target roles. Get those right and both the software and the recruiter can see what you offer.
